Negotiating with Non Traditional Venues

Wording to use when you call a park:

“I need a space for a [small/medium/large] gathering sometime in [desired month] Can I make a reservation? What is the cost and how long can we reserve it for?”

Keep calling different parks until you get one in your budget. Some don’t cost anything! 

Savings: potentially save up to $5,000 or more on a venue.

Wording to use when reserving a drive-in location for a tailgate wedding:

“I’m looking for space to tailgate/have an event on [date]. Is it possible to reserve the [lot or building name] parking lot for about xx hours? What is the cost?”

Keep calling until you find a few in your budget, then drive by them and pick the one you like best.

Savings: potentially save up to $5,000 or more on a location.

Negotiating restaurant and venue quotes 

Wording to use when you negotiate a large dinner party with a restaurant:

“I’m looking to host a dinner party/rehearsal dinner for [xx number of people] at your restaurant. Do you have a pre-priced menu including drinks and dessert? We have about $xx in the budget.”

If you can’t find a restaurant within that budget, ask how many they can host at that price. Keep calling different restaurants until you find a match! You don’t have to mention it’s for a wedding reception, but you will want to make sure they will cut a cake that you bring in, how they handle bringing in outside wine (corkage fees?), and any other special considerations. You’ll also want to know if you’ll be the only party at that time, what if any entertainment is booked for that time and any other events happening at the same time.

Wording to use when looking for a wedding venue:

Be prepared to call LOTS of venues until you find a match. More important than the perfect setting is that they can accommodate the number of guests in your budget. After all, the fun of your big day is had with the people who attend.

“I’m looking to host an event for [xx number of people] at your venue. Do you have availability on [date]? Do you require we purchase food and drinks through you or can we bring our own catering and bar? Do you have a pre-priced menu including drinks and dessert? We have about $xx in the budget. How many people can we host for that?”

Negotiation areas may include catering options, liquor choices, and even the possibility of swapping out certain items to better suit your preferences. Remember to Prioritize discussions on restrictions, unaddressed details, and deal-breakers. And, of course, always be kind; your delivery can make all the difference in getting what you want. 

Negotiating with Other Wedding Vendors

Wording to use when looking for a photographer or videographer:

“Capturing our special day is incredibly important to us, and we love your work. However, our budget is limited. Can we discuss a customized package that includes essential moments and perhaps a shorter time frame?”

This is hard.

Holding a wedding during a pandemic is just plain hard. But if you’ve decided to go through with it, there are some important rules to follow to keep people safe. And since not everyone agrees on the rules issued by the CDC, state and local governments, it might feel like stepping over some line to dictate how your guests should behave on your big day. Here we walk you through all the big considerations so you can feel confident you’re doing the right thing.

Asking guests to get vaccinated.

As of November 1, 2021, about 80% of US adults have had at least one Covid shot. Therefore, if you’re planning a 2021 or 2022 wedding, it’s reasonable to ask guests if they have been vaccinated. You might even consider arranging vaccination for your most vulnerable loved ones, about a month before the big day. As of November 8, 2021, everyone age 5+ will be eligible for a vaccine, so it could be as simple as making an appointment at your local drug store or free clinic.

Ask unvaccinated guests to get tested.

It might feel like a sticky subject, but there’s no shame in asking your unvaccinated guests to get tested before attending your wedding. Many drugstores are now offering in store or at-home testing, free of charge with or without any health insurance. Or they can call their local pharmacy, doctor or insurance company for information on getting tested.

Before you put out the word, you’ll just need to decide how you want to handle guests that don’t get tested. Your wedding venue may have requirements and protocols to share, so start by asking. If they are leaving it up to you, you essentially have two choices: require the test results to enter the venue, or label folks that have a negative test so others know who’s safe to approach. More about that in the next section.

Tell guests what to expect.

Regardless of whether or not you ask guests to get tested beforehand, there are some vital protocols to follow to keep everyone attending your event safe. Make sure you’ve consulted your venue about their rules, and then add any that you’d like in addition. Print the rules for your guests and send them with your invitations. Here’s some example Covid wording for an invitation.

We are so excited to see you on our big day! In order to keep everyone safe, we’re required by the venue and local laws to follow these health and safety rules:

  • If you have been vaccinated, please bring your records and provide them to the host. They will give you a sticker so others know you’re safe.
  • If you haven’t been vaccinated, please have a Covid test done within 48 hours before the wedding. Bring your results with you. We’ll give you a sticker so others know you’re safe.
  • Everyone will be temperature checked on arrival.
  • Hand sanitizing stations will be provided, please use them liberally!
  • Maintain 6-foot social distancing with attendees that aren’t members of your household or who aren’t wearing a Covid-safe sticker.
  • Stay home if you aren’t feeling well in any way (especially fever, chills, sore throat, cough, stomach ache). We’ll celebrate with you another time!

Thank you for making our day so special for us, in spite of these unusual circumstances.

What if you don’t feel well?

We know it’s unthinkable to cancel your wedding. However, if you haven’t been vaccinated and are having any symptoms at all, you’ll need to stay home to keep your loved ones safe.  Postpone your big day by at least two months.

Just like any 2020 wedding couple, Covid-19 forced us to get creative and completely re-plan our big day. This included cutting the guest list which was devastating to us. We wanted as many guests as we could safely allow to attend but, we also knew we didn’t want to spend a ton on a day that would be much simpler than we had originally planned.

With a total cost of $8,500, a tailgate wedding is definitely something to consider. Here’s what you need to know about planning one:

Get creative with the venue

Big, large weddings are out of the question at the moment due to safety and restrictions. And airbnb now limits the number of people using their properties, so anything beyond 16 people requires owned property or finding a venue that works for what your wedding dreams and goals are. Brainstorm venues in your area that may not be in use during the pandemic. A few examples: comedy clubs, baseball ball fields, and concert venues.

We found a beautiful and very affordable venue called The Victorian in Youngsville, NC. They were super easy to work with and let us have a tailgate wedding, which allowed us to have a higher guest count but also keep everyone safe. Our idea came from asking another venue we were touring if we could have a car parade come wave to us after we got married. The venue owner said it would be no problem, and then we asked would it be possible to just get married out in the parking lot while our friends watched from afar. After they told us yes, we started touring other venues to assess what parking lot would be best for hosting cars and creating a backdrop for beautiful photos. We were able to make the parking lot super pretty by adding an arbor, wedding chairs, and flowers. Instead of paper invitations, we invited our friends via a website we created and asked them to RSVP on there. We were able to fit: the wedding ceremony, toasts, first dance, and cake cutting all into the parking lot easily so that our friends could enjoy the full wedding experience from a safe distance. We then invited relatives and friends who were too far away to join to watch on a zoom call that our DJ managed.

The best part was after the tailgate wedding, we had a smaller dinner with just family and the wedding party which was catered by a food truck. We had everyone spaced and in their own covid families.

Cut photography costs

Give the kids in your wedding party mini cameras. We found some for $20 which didn’t break the bank. This will keep them occupied and create more fun memories for you after you upload their photos too. The kids took amazing photos and felt included in the wedding day as a result.

 

 

Skip the expensive cake

We gave all our guests cupcakes instead of cake, which helped us cut down on costs. We worked with Whole Foods to design cupcakes the same color as the bridesmaids’ dresses. They were $7 for 6 cupcakes and people said they were some of the best cupcakes they’ve ever had. You only had to order with 48 hours and the whole process was smooth from start to finish.

Use awesome wedding registries

We decided to use Honeyfund for ours. We are saving up for a honeymoon so it was great to use a registry that converted to cash that we could put towards items we desperately needed, along with saving up for flight and resort costs. This allowed us to save up more and not have unnecessary gifts taking up room in our house.

Borrow jewelry

You can borrow jewelry from a local shop or a friend. A local jewelry shop called Bailey’s Fine Jewelry graciously let me borrow a pair of beautiful earrings for my big day. Ask around to your family and friends or check out a local shop where you live.

Making the best of it

We did our first dance to a song called: Slow Dance in a Parking Lot by Jordan Davis, who surprised us on zoom, which is still so crazy to us! One of the lyrics in the song says, “making the most of whatever we got, even if it’s just a slow dance in a parking lot.” That has been our motto for the pandemic: looking for the bright side and finding the good even when it feels hard. Our encouragement to any other covid bride: is to make the most of whatever circumstance has been handed to you for your wedding. No wedding is going to be perfect, but choose the things that matter most and make those the priority.

My husband and I had our dream wedding for less than $5,000 CAD (approximately $3,800 USD) in 2016. The biggest reason we were able to afford to do so was that we saved money by having our wedding and our honeymoon at the same venue.

Since we were on a small budget, we weren’t planning on taking a honeymoon at all. As many other couples do, we promised ourselves that we would save up and postpone our honeymoon until our first anniversary. But in the back of my mind, I knew that wasn’t likely to happen. And it kind of bummed me out.

Thankfully, we live in Northern Ontario, Canada where we are surrounded by beautiful lakes and forests. Tourism is a major contributor to the local economy, and there are numerous venues in and around the city that are popular for weddings and other special events. Which is how we accidentally found our venue. My husband was helping his mother scout locations for a family reunion when he came across a perfect venue. Not for the reunion, but for our wedding and for our honeymoon!

How to Find the Right Honeymoon – and Wedding Venue

For most couples, finding the right venue is high on their priority list. A bad location could ruin an otherwise perfect wedding.

Trying to find a venue that fits both your wedding and your honeymoon needs on a budget can be a bit tricky.

Take a hotel, for example. These are pretty common places to have weddings as they are affordable, there are rooms for your guests to stay in, a restaurant and bar on-site, and ballrooms or banquet halls all within the same building. These generally don’t make great honeymoon destinations though, even if you’re staying in the honeymoon suite.

So what are your options?

What Are You Hoping to Do for Your Honeymoon?

There are the basic things to consider when selecting a wedding venue, such as indoor vs. outdoor space, the overall aesthetic you’re hoping for, the number of guests invited, and what else is included with the venue (such as tables, chairs, and linens).

However, you also need to consider what you want for your honeymoon. Are you hoping to kick-back and relax by the pool or are you hoping to get out there and do a lot of sightseeing and activities? Do you want a home-away-from-home where you can do your own cooking or do you prefer somewhere with a restaurant or room service?

How Far Are You Willing to Travel?

People generally have their wedding close to home and then fly to their chosen honeymoon destination. When you’re looking to combine the two, you need to consider how far you and your guests are willing (and able) to travel.

Destination Wedding

If you are considering a destination wedding, using the same venue for your honeymoon is a no-brainer. This is a big reason why destination weddings are growing in popularity.

You will save money on travel because you don’t have to drive or take an additional flight to your honeymoon. Most destination wedding resorts will also give you a package deal or a discount on accommodations if you stay a few extra days after your wedding.

But what if you can’t afford to travel to an exotic resort for a destination wedding?

Local Destinations

If traveling is out of your budget or is simply not something you and your partner are interested in, consider what “destinations” are within an hour or two of where you live.

A scenic hotel or resort might be the best of both worlds. It provides everything you need in a wedding venue but also makes for a great honeymoon getaway.

We went this route and found a resort for our venue, located about an hour’s drive away. Because we saved on travel, spoiling ourselves with an incredible venue was something we could splurge on without going over our budget.

This resort had one main building that included a kitchen, serving space, bar, dining room and a 2-level outdoor deck overlooking a lake, which is where we held our ceremony and reception. For accommodations and the honeymoon portion of our wedding, we rented cabins. But these were not your typical log cabins. We spent our first few days as newlyweds in a beautiful lakefront mansion! We enjoyed the fresh air, hot tub, fire pit, dock, wrap-around deck, walk-in shower, king-sized bed, pool table, and some peace and quiet. It was exactly what we wanted!

Once you decide on what you want and how far you are willing to travel, you can start looking for places that meet your criteria and your budget.

Where to Search for Your Wedding Venue

Search Online

The internet is a great place to start searching for your perfect venue. You might need to search different keywords to get the full range of options available, such as: resort, retreat, conference center, vacation, getaway, country club, community center, lodge, cabin or parks. We didn’t come across our venue at all until we started searching “family reunion locations” as opposed to wedding venues!

You can also search for affordable and unique venue ideas, and see where that leads you. Some of these ideas include historical sites, adventure destinations, festivals, and yachts or cruises.

Have you considered looking for a venue through sites like Airbnb? As long as the listing is open to events, has enough space, and is okayed by the host, an Airbnb rental could be the perfect place for your wedding and honeymoon.

Ask Around

Don’t be afraid to ask around. Talk to your friends, neighbors, colleagues, or the cashier at the grocery store – they just might know of a hidden gem that is exactly what you’re looking for.

Visit your local tourism center. They would know what venues and attractions are in your region better than anyone else.

Consult with a wedding planner, who would also be an excellent resource to find the perfect venue. You can hire one to help with as much or as little of your wedding planning as you’d like. So if finding a venue is all the help you need, a wedding planner can do just that for you. They can also help you negotiate on costs and might be able to get you a discount if they already have a working relationship with the venue.

With a little consideration and planning, it is possible to have your dream wedding and honeymoon without being left in debt. Using the same venue for both is one great way to accomplish this.

Some couples ditch the church and reception hall and go for a wedding venue that they and their guests will never forget. Here are the 10 most-bizarre places people have said: “I do.”

Bizarre Wedding Venues To Say “I Do”

Married in Nevada

Denny’s Chapel. Las Vegas, Nevada. For just $199, the Denny’s wedding package includes the chapel, an officiant, a photo booth, silk bouquet and boutonniere (in red, white, pink, or yellow), a pancake cake, and two (2) wedding t-shirts. You also get two (2) coupons for an Original Grand Slam. Denny’s calls it “the best union since pancakes and syrup.” Bizarre, but very charming.

Oakland Cemetery. Atlanta, Georgia. Seems like a cemetery wedding is inviting haunting or possession into your life, but this historic cemetery has a Private Events team to help with the planning and execution of weddings.

Moab Utah

Spacenet. Moab, Utah. A group of slack liners called the Moab Monkeys created a spider-web net 400 feet in the air, and 200 feet away from the nearest cliff in Moab. They made it for base jumping and relaxing (really?!), but in 2017, Kimberly Weglin and Ryan Jenks got married, accompanied by a crew of base jumpers and professional stunt people.

Treehouse at The Lodge. Loch Goil, Scotland. This charming tree house, right on the banks of Loch Goil in Scotland, is a memorable wedding venue for small parties of up to 24 (standing) people. It has a small wood-burning stove and Wi-Fi for uploading what promises to be stunning pics to Instagram.

 Hot air balloon weddings

Rainbow Ryders. Albuquerque, Arizona. This hot-air balloon company offers sky-high wedding venues (multiple balloons), for up to 75 people. Ceremonies can take place on the ground or in the air, but couples must bring two (2) witnesses into the balloon with them for their ceremony.

Mall of America. Minnesota. There’s a chapel on the 3rd level of the once-biggest mall in America. Over the past 22 years, 7,500 happy couples have tied the knot and then held their reception in the food court (pure conjecture).  It’s a combination wedding chapel and bridal accessory boutique, so forgetful brides can grab their something-new-and-something-blue at the last minute. 

Rustic barn wedding

Edel Haus Farm. New Jersey. Rustic barns are a surefire wedding venue, but this one is on a working alpaca farm. Handlers are available to introduce guests to the alpacas and there are adorable opportunities for unique wedding pictures, but no word if the herd may attend the wedding.

Zero-G. Worldwide. For people with a spare $165,000 to drop on their venue, they can book the G-Force One, a zero-gravity flight experience. The plane is always touring around the world, and can fit up to 34 people on a private flight. It makes 15 parabolic maneuvers to create the experience of zero gravity.

The Stanley Hotel. Estes Park, Colorado. If you want to seriously unnerve your wedding guests, recreate “The Shining” during your ceremony. There are plenty of opportunities for spooky references; Dress your flower girls as the Grady girls, or call your signature wedding cocktail ‘RedRum.’ But this is more reminiscent of popular y8 games and not what is mentioned above.

If they don’t offer a service, they can recommend a local vendor(s) that they have established a partnership with, sometimes at a discounted rate. Another perk? Many colleges and universities offer a discount to alumni to book their wedding on campus.

 Colleges and universities do not skimp on wedding fare. The conference and special events department work closely with the catering source on campus to develop a spectacular menu, specifically for weddings, and also provides cultural catering upon request. The creativity in the catering department on campus is top-notch! Many catering departments on campus are flexible and allow couples to make special requests. For instance, I worked at my alma mater’s conference center while attending college and saw first-hand the flexibility when developing catering menus for couples. My favorite was when a bride requested an upscale version of strawberry shortcake in lieu of a traditional wedding cake to surprise her husband because it is his favorite dessert. The catering team went above and beyond and created the most delicious strawberry shortcake I’ve tasted to this day!

Traditional and Non-Traditional Ceremony Locations On-Site

Campuses have so many picturesque locations on campus that provide beautiful scenery and backdrops, making for the perfect photo-op. This is also true when working with your on-site coordinator when selecting a ceremony location on campus.
